Promatik d.o.o. (“Promatik”, “we”, “us”) provides the Evident mobile application and web portals for workplace attendance and leave management.
1. Data we process
- Account data: name, email, role, company affiliation
- Attendance events: timestamps, event type, approximate location when checking in or out
- Leave and sick leave: requests, approvals, and related notes
- Device data: push notification tokens
- Technical logs: information needed to operate and secure the service
2. Why we process data
- To provide attendance and leave features to your employer (the licensed company)
- To send transactional emails (e.g. password reset) and push notifications
- To secure accounts and prevent abuse
- To generate reports requested by company administrators
3. Legal basis
Processing is necessary to perform the contract with the company that licenses Evident and, where required, based on legitimate interests in securing the service.
4. Sharing
We do not sell personal data. Data is processed on servers we operate (or through our hosting provider) on behalf of the company that employs you. Push notifications are delivered via Firebase Cloud Messaging (Google). Transactional email is sent through our mail provider.
5. Retention
Data is retained for as long as the company license is active and as required by the employer’s retention policy or applicable law. After account or company deactivation, data may be deleted or anonymized within a reasonable period.
6. Security
We use encrypted transport (HTTPS), hashed passwords, and access controls. No method of transmission or storage is 100% secure.
7. Your rights
Depending on applicable law, you may request access, correction, or deletion via your company administrator or by contacting support@promatik.me. Employees should first contact their employer, which is typically the data controller for employment records.
8. Children
The app is not directed to children under 16.
